Return, Replacement, and Cancellation Policy

At StudioBackdrops.com, we specialize in high-quality, professional-grade equipment. Due to the high value, specialized nature, and sensitivity of our products, our policies are strict and designed to protect both our business and the integrity of the professional supply chain.

1. General Conditions and Pre-Requisites

Compliance with all the following conditions is mandatory for any return or replacement request.

A. Condition of Returned Items

• New, Unused Condition is Mandatory: The product must be returned in absolutely new, unused, and resalable condition. Products showing any signs of wear, usage (e.g., lens mount marks, fingerprints on screens, activated software licenses), or installation will be rejected.

• Original Packaging and Contents: All returns must include the original manufacturer’s box, protective films, tamper-proof seals (if applicable), warranty cards (not filled out), manuals, and all included accessories. Missing or damaged packaging will result in rejection.

• MRP Sticker: The original MRP sticker must be intact and non-tampered.

• Final Sale Items: All discounted, sale, clearance, or special-order products are final sale and are not eligible for return, replacement, or exchange unless confirmed defective upon immediate delivery.

B. Mandatory Unboxing Video

To validate any claim of damage, defect, or wrong product received, an unboxing video is mandatory and serves as a primary proof requirement.

• The video must be a single, continuous, uncut recording that clearly shows the exterior of the package (including the shipping label and tamper-proof seals), the process of opening the box, and the condition/functionality of the product upon first removal.

• Failure to provide a compliant unboxing video will result in the immediate and permanent denial of the return or replacement request.

C. Refusal of Delivery / Non-Availability

If a customer refuses to accept the delivery, is unreachable, or is not available during multiple delivery attempts, the shipment will be automatically returned to our facility.

• Restocking Fee: In these cases, the shipment will be treated as a refused delivery, not a standard return. A mandatory 30% Restocking Fee will be applied to cover the two-way logistics charges, inspection, re-certification, and loss of value.

2. A. Damaged, Defective, or Wrong Items

This section covers products that are non-functional, physically damaged during transit, or incorrect upon delivery.

Damage Reporting Window (Acceptance Inspection)

• All products are subject to a 3-Day Return/Replacement Eligibility Window (beginning from the delivery date). Any return/replacement request initiated after this 3-day period will be permanently denied.

• Mandatory 24-Hour Reporting Prerequisite: Within this 3-Day Eligibility Window, all claims for transit damage, defects, or wrong item must be formally reported via the official Request Form within the initial 24 hours of delivery.

• Evidence Submission Deadline: The customer is solely responsible for furnishing all required evidence (the mandatory unboxing video and any supporting images/documentation) within the same 3-Day Eligibility Window. No action can be taken, and the claim will be rejected outright, if the required evidence is provided after the 3-day timeline has elapsed.

Legal Framework for Transit Damage Claims

All transit damage claims are governed by the Carriage by Road Act, 2007 (which defines carrier liability) and the Sale of Goods Act, 1930 (which defines buyer and seller rights).

• Claim Requirement: For us to initiate a claim against the logistics partner under the Carriage by Road Act, all evidence of damage must be shared promptly with the logistics partner.

• Industry Standard Window: The 3-Day Transit Damage Claim Window aligns with the standard claim policy of Indian logistics operators, which is the maximum permissible time limit to ensure the claim is valid and successful.

Damage During Transit

1. Visibly Damaged Packaging: If the outer packaging is visibly damaged upon delivery, the customer must refuse delivery and notify us immediately. We will arrange a replacement directly.

2. Internal Damage (Accepted Package): If the package is accepted, the delivery slip must be signed clearly noting the damage. The damage must then be reported within 24 hours with the mandatory unboxing video as proof.

Definition of Defect

• Defect: Constitutes any flaw or shortcoming in the product that hinders its primary functionality as described on the website.

• Exclusions: A defect does not include: minor cosmetic imperfections that do not affect the product’s primary professional use, damage to the product’s outer packaging or shipping box, or manufacturer variations within acceptable industry tolerances.

Manufacturer Seals and Usage

• If a damage or defect is apparent before setup, the customer must not open any manufacturer seals, protective films, or activate any associated software licenses.

• Opening any manufacturer seals or using the product (e.g., mounting a lens, powering on a light for prolonged testing, setting up a tripod) will be considered acceptance of the product’s condition and will void the replacement claim if the damage was apparent prior to use.

2. B. Buyer’s Remorse (Non-Defective Returns)

Returns for non-defective reasons (e.g., product matches description but is no longer wanted or needed) are strictly discouraged for professional equipment.

• A non-defective return may only be requested for store credit or product exchange. Cash refunds are not provided for Buyer’s Remorse returns.

• Mandatory Restocking Fee: A minimum 30% restocking fee is non-negotiable for all approved non-defective returns.

• Condition-Based Fee Adjustment: This fee may be increased up to 50% based on the product’s condition upon return, specifically if the product requires extensive inspection, testing, sanitization, or if minor protective films or packaging components are missing/damaged.

• Costs: Shipping and handling fees, and the cost of any activated software/licenses, are non-refundable. The customer is responsible for arranging and insuring the return shipment.

• Refusal: StudioBackdrops.com reserves the right to reject any non-defective return entirely at its sole discretion, especially if the product has been unsealed or used.

3. Order Cancellation

• Orders can be cancelled only within 12 hours of placement via the official Cancellation Request Form.

• Once an order has been shipped, the order cannot be modified or cancelled and will be subject to the terms of Section 1.C (Refusal of Delivery) if rejected.

• Final Sale Exclusions: Orders placed during sales, promotional events, or using discounts are final and non-cancellable.

• Payment Gateway Charges: For all approved cancellations, StudioBackdrops.com reserves the right to deduct actual payment gateway transaction charges (typically 2% to 3% of the order value) from the refund amount, as these charges are incurred by us instantly and are non-recoverable from the gateway.

4. Product-Specific Return Windows

Due to the nature of the products, most items are Replacement Only for verified damage/defect within the 3-day acceptance window.

5. Return/Replacement Process

1. Initiation: Fill the official Return/Replacement Request Form within the applicable window (24 hours for damage/defect reporting).

2. Approval: Allow 24–48 hours for review. Approval is contingent upon verifying the mandatory unboxing video and product details.

3. Shipping: Upon approval, we will arrange return pickup. The customer must securely package the product using the original manufacturer’s packing materials to prevent transit damage.

4. Inspection: The product will be thoroughly inspected and tested by our technicians upon arrival. Any deviation from the claimed condition (e.g., signs of use, missing seals) will result in rejection, and the product will be returned to the customer at their expense.

5. Resolution: Once approved, the store credit, exchange, or refund (for specific cancellation cases) will be processed within 5–7 business days.

6. Return Abuse Policy

We actively monitor return and cancellation patterns. We reserve the absolute right to refuse future returns, cancel orders, or withhold refunds/credits in cases of suspected fraud or abuse, including but not limited to:

• Excessive return frequency disproportionate to purchase history.

• Fraudulent claims, manipulated unboxing videos, or misrepresentation of product condition.

• Repeated non-acceptance of prepaid orders.

7. Manufacturer Warranty Period

• Beyond the 3-Day Window: Once the 3-Day Return/Replacement Eligibility Window has passed, our obligation for direct replacement, repair, or refund ceases.

• Warranty Transfer: All products are covered by the original manufacturer’s limited warranty (typically 6 months to 1 year). Any defect or malfunction that arises after the 3-day window must be handled directly through the manufacturer’s authorized service center in accordance with the warranty terms provided with the product.

• Our Role: StudioBackdrops.com will provide necessary documentation (e.g., invoices) to facilitate your warranty claim but is not responsible for the servicing, repair, or replacement of the product under the manufacturer’s warranty.

8. Legal Jurisdiction

This Return and Refund Policy shall be governed by the Consumer Protection Act, 2019, and all other applicable laws of India. Any disputes arising from this policy shall be subject to the exclusive jurisdiction of the courts located in the Union Territory of Delhi.
